A check-in — Phoenix Ember calls it an assessment — gives every pupil a structured wellbeing picture across the eight domains: Emotional Awareness & Regulation, Self-Concept & Self-Worth, Social Competence & Peer Relationships, Relationships with Adults, School Belonging & Engagement, Attention & Self-Regulation, Resilience & Coping, and Behaviour & Conduct. Submitting it updates the pupil's Red/Amber/Green status straight away.

Open the pupil and start the form
Find the pupil — from the pupil list or straight from their profile — and open their assessment form. Phoenix creates a draft the moment the page loads, so nothing is lost if you're interrupted partway through.
If someone else has already started scoring this pupil, you'll see who — they need to finish or discard their draft before a second one can start.

Baseline or cycle — set automatically
You don't choose the assessment type yourself. If this is the pupil's first-ever assessment, or the first in a new academic year, Phoenix marks it a Baseline. Every later assessment in the same academic year is a Cycle review, so you always know what you're comparing against.

Score against plain-English anchors, not raw judgement
Each domain has five indicators, and each indicator is scored 1 to 5 against a written anchor description — "names a small range of basic feelings only when asked" reads very differently from "identifies a range of feelings with adult support", so two different staff members land on similar scores for the same pupil. Work through all eight domains until every indicator has a number.
You can add a short note to any individual score if useful context comes to mind — it is optional.

It saves itself as you go
Every score change saves automatically as you work, and moving between domains saves whatever you've just entered too. There's no 'save' button to remember, and no risk of losing a class's worth of scoring to a closed tab.

Submit — and see the result immediately
Once every indicator has a score, submit. Phoenix calculates a weighted score for each domain, maps it to Red (1.0–2.0), Amber (2.1–3.0) or Green (3.1–5.0), and updates the pupil's profile there and then — no overnight processing, no waiting for a report to run.
A submitted assessment is locked, so the record staying accurate for anyone who looks at it later — a governor, a new SENCO, an Ofsted inspector — is never in question.
